Main Job Purpose:
The primary objective of this role is to contribute to OD projects, Workforce Analytics, and Internal
Communications by maintaining accurate organizational charts, analyzing workforce data, and preparing
reports that inform decision making. It contributes to OD and engagement initiatives by providing data
insights, managing intranet and Viva Engage content, and drafting internal communications. The role also
assists in planning and executing company events and engagement activities, ensuring smooth logistics,
vendor coordination, and timely documentation to enhance employee experience and organizational
alignment.
Duties & Responsibilities:
1. Maintain accurate and up-to-date organizational charts across all HR platforms (e.g., Visio, ERP,
Outlook), ensuring alignment with approved structures and workforce changes.
2. Collect, consolidate, and analyze workforce data (e.g., demographics, attrition, mobility) to generate
actionable insights that support evidence-based decision making.
3. Prepare periodic workforce reports and highlight trends requiring management attention.
4. Support OD initiatives by gathering and analyzing data related to project performance, engagement
campaigns, and employee feedback to drive continuous improvement.
5. Provide insights and preliminary recommendations based on collected data.
6. Manage and update content on the company intranet and Viva Engage, ensuring accuracy,
relevance, and timely posting.
7. Draft and distribute internal announcements, updates, and communication materials that reflect HR
communication standards and strengthen organizational alignment.
8. Assist in planning, coordinating, and executing engagement initiatives such as internal campaigns,
cultural celebrations, and company-wide events.
9. Ensure smooth logistical arrangements including venue setup, materials preparation, and
stakeholder coordination.
10. Maintain and update the engagement and events calendar to support effective planning and
visibility.
11. Support event execution by liaising with vendors, arranging required logistics, and following up on
purchase requests and invoices to ensure timely delivery and accurate documentation.

Technical Competencies:
1. Organizational Charting Tools: Proficiency in tools such as Microsoft Visio and ERP systems for
maintaining accurate organizational structures.
2. Workforce Analytics: Able to collect, clean, analyze, and interpret workforce data (demographics,
attrition, mobility, engagement metrics) and develop insights.
3. Familiarity with HR Systems: Familiarity with ERP platforms used for employee data, structure
updates, and reporting.
4. Event Planning & Coordination: Ability to plan, organize, execute, and evaluate employee
engagement events; includes logistics, scheduling, technical setup, and vendor handling.
5. Internal Communication Tools: Ability to prepare professional announcements and updates using
internal communication systems (Intranet, Viva Engage and WhatsApp group).
6. Data Visualization Tools: Ability to use visualization tools (e.g., Excel dashboards, Power BI) to
present workforce insights, trends, and reports in clear, visually compelling formats that support
data-driven decision-making and senior management communication.
Qualifications:
Education
A bachelor’s degree in Human Resources, Business Administration, Organizational
Development, or a related field.
Experience
• 0-1 years of experience in HR or Organization Development, preferably involving data
analysis, communication, or engagement activities.
• Experience in event coordination or internal communications is an advantage.
Certificates SHRM-CP are preferred.
Language Fluency in the English language (Written & Spoken).
